Small Businesses Can Benefit From Big Businesses Practices

Many of us who live, work, and breathe technology like to be given the moniker “geek.”  The term that used to be looked upon negatively not so long ago is now almost a badge of honor as we have seen how important design, information assurance, security, and basic ease of living and communicating have become.  We have all accepted the way products and services are presented to us by many major companies and voice our opinions on them after we use them.  Most of these companies consistently use processes that have been proven to boost their sales, customer loyalty, and, ultimately, their bottom line.  There is an infinite amount of information that can be learned from the big business processes which is why it is important to become a “process geek.”  A process geek is someone who not only understands their product and their customer base, but also has a consistent method of presenting and delivering it.

Let’s face it, many of us would like nothing more than to discuss code, design, network, and server information to our clients, many of whom could care less because they just want a working product. Many of us are enamored with terms, diagrams, and acronyms, while our customers are not.  Learning how to use words and phrases that communicate how we can solve their problems without overwhelming them with “geek speak” is a major component of a winning formula for customer service.  They usually don’t want to know how you’ve made their site operate so well as long as it works.  The good news is once you have it up and running, it is easy to reproduce as long as you have good documentation which doesn’t end with code comments.  You must document how you got there which involves the method used to gather requirements from the customer (survey, face-to-face questions, etc.), which language was used and why, and how it was executed.  Although it seems like a long arduous process, successful businesses have a plan they use and stick to it, tweaking it along the way for improvements.  So, although your business may be as small as 1 – 2 people, creating, documenting, and following your processes will eventually lead to less confusion and, hopefully, an improved bottom line.

First in Line, But Way Behind With Windows 8

We are all the same.  We all like to try the newest food, drink, clothing, gadget, or car as soon as they hit the market.  We all like the newest stuff and, like any kid, want to be the first ones on the block with the new toy.  You hear many stories about people standing in line to get the newest renditions of smartphones and tablets.  Then you hear their horror stories or read their online complaints about all of the issues they are having with their shiny, new toys.  Unfortunately, the same can be said about Windows 8.  Although people haven’t been flocking to the shops to stand in line overnight to buy this new software, there are still many hard core enthusiasts who were the first to jump on it.  A friend of mine purchased and loaded the software (I’ll spare you all of the details) and soon discovered his computer running slow.  He was also having performance issues such as his computer freezing and continuously crashing.  He is pretty software savvy but…not so much with hardware.  Although he hated it, he had to enlist some Dallas IT support (his hometown).  He was extremely embarrassed about the whole situation and called a residential computer repair company that troubleshot and diagnosed his problems.  Windows 8 requires a 1 GHz processor, 1 GB of RAM, and 16 GB hard disk space among other things.  Although these are normal, average requirements for many newer systems, many aren’t prepared for some of today’s software requirements.  As I said, my friend is not into hardware, so he actually thought he would be able to use Windows 8′s Picture Password properties…without having a system that supports a touch screen!  So, instead of being the first one in line to get the latest and greatest, do a little homework.  Maybe even wait a few months until they can fix all of the bugs.  Then enjoy your (slightly) new shiny toy the way it should be used.

For all of the budding entrepreneurial enthusiasts out there, here’s a great question:  where do you find your customers?  Interestingly enough, some build their customer base relatively easy because they rely on contacts they’ve known for years.  I recently discussed this with a colleague who was branching out on his own.  His customer base currently consists of two clients.  Fortunately for him they are very big clients whom he has built a relationship over the years.  They firmly believe in his abilities to provide quality IT services to them without a hitch.  This sounds like he accidentally tripped over the pot of gold at the end of the rainbow but, it was actually based on years of hard work.

Although a little old school, his method worked and will more than likely be successful for him.  He has face-to-face contact with his customers on a daily basis.  How do we build the same rapport with individuals we haven’t even seen?  It is very hard for someone to believe you’re the best thing since Twitter if the only way they can base it is on your Web site or ads.  Although mass advertisements work well in some markets, the best way to market is through a close relationship with your potential customers (like my colleague) or word of mouth.  It may take a little longer to build your base, but starting small and getting social media endorsements from your customers through Facebook, Twitter, and even through some Linkedin groups, is one of the best advertising mediums (with instant results).

Review: Introduction to C# Joes 2 Pros

I just wanted to offer a recommendation for those of you who are in programming fields that require C#. I know when I first started, many of the online books offered at my college read as if you were already familiar with C# programming. In some classes instructors accurately followed lessons in the course e-books but then the assignments ventured to lessons that the book provided little to no information on. For those of you who have felt frustrated or overwhelmed by this, I found a little gem of a book that helped me learn C#.

This book, Introduction to C# Joes 2 Pros provided easy to follow instructions, downloadable code and full-colored pictures that will get you on your way to writing your own C# programs. One of the most helpful hints for me:

If you noticed when using Visual C# IDE console application, after you have written a code such as Console.WriteLine (“Hello World!”); and click the “Start Debugging” button, the black console window pops up and goes away before you could even read the data. An easy fix is to add a Console.ReadLine(); method to the end of the program and it will pause the program before terminating. I could have overlooked this, but I do not remember seeing this helpful hint in any of my course e-books.

That is one of the many great features about this book; it covers the basics of everything you will need to know to become a C# programmer. I am not trying to dissuade anyone from their own college course e-books, but for me, I found that I needed a clearer understanding of the subject matter.

V.O.W. To Hire Heroes (Veterans) Act of 2011

HALO jump     Many of us have been hurt by the financial hardships caused by the recession and veterans are no exception.  Unfortunately, honorable service does not guarantee employment and many veterans return home after completion of their commitment with no options.  Unless they had a military occupation that translated directly into a civilian job, they were pushed to the back of the line without being given a chance to show what they were made of.  Many skilled veterans worked very hard, for little pay, to become the best in their fields, but still are not able to make a smooth transition to civilian life.

The Veterans Retraining Assistance Plan (VRAP) is part of the Veterans Opportunity To Work (VOW) program and is designed to help veterans retrain into high demand fields such as telecommunications, networking, installation, maintenance and repair, and other areas in IT.  There are also many other occupations available such as within the medical, business, and legal career fields.  To participate in the program, veterans must be unemployed and between 35 and 60 years old. They must also have received an honorable discharge and not enrolled in a federal or state job training program.  Participants must also be enrolled in a VA approved education program at a community college or through a technical school.

So far, the program has received over 74,000 applications and has approved over 62,000!  These are fantastic numbers even if only a small fraction of participants choose an occupation in IT.  The Bureau of Labor Statistics still ranks careers in IT (Computer Specialists, Systems Analysts, Database Administrators, etc.) as some of the fastest growing over the next few years.  As a veteran, I know nothing is more frustrating than KNOWING you can do almost anything, but not being given the opportunity because of choices you’ve made in your life.  The choice to volunteer and selflessly serve your country should not be viewed as a hindrance to finding a job, supporting your families, and enjoying your lives.  I urge any veteran to visit the Department of Veterans Affairs web site and check out all of the services they have to offer.  I salute you and wish you an enjoyable, restful Veterans Day.  You’ve earned it!

Social Customer Service

What’s the fastest way to find out if your customers really like your services, products, or even the atmosphere you project?  Of course, sales is the indicator most would adhere to utilizing statistics and metrics to gauge your customers’ likes and needs.  But, increasingly, companies are looking towards their Facebook pages or Twitter feeds to see exactly what their customers are saying about them.  The best way to combat a negative comment trend is to see it when it occurs and fix the problem.  Potential customers will check out what others have to say about your product before trying it themselves so it’s best to stay on top of and try to ride the wave of social media revolution whether you like to or not.

According to NM Incite’s 2012 State of Social Customer Service Report, social care, or customer service via social media, has become a number one priority for today’s global brands.  According to their findings, 47% of all social media users have used social care with 59% of that number belonging to 18 – 29 year olds.  71% of those who have a positive social care experience will likely recommend that brand to others.  Also, believe it or not, 33% of social media users prefer to communicate to a brand’s customer service network through social media instead of on the phone (who wouldn’t?).  Basically, its all in the numbers.  If there is an uptick in customer response through social media while the opposite occurs through traditional means, wise companies will lean towards what is working now.  ”Likes” or “unlikes” on Facebook or a good or bad Twitter post could boost a company’s business or kill it (if only we could do the same thing to the Department of Motor Vehicles or DMV).

How quickly should you be able to respond to a customers questions or issues?  Most customers expect a response the same day they ask for assistance.  More than 50% of Twitter users expect a response within two hours of posting and 71% of Facebook users prefer a response within the same day.  What does this mean?  Are we becoming spoiled and expect everything to cater to our needs?  Actually, this is the consumer rediscovering the amount of power they actually have.  Now, instead of  massive advertising drives (postal, email, door-to-door) to organize boycotts, demonstrations, or down right dislike of a brand for any number of reasons, information can be instantly disseminated and opinions can be voiced in a matter of seconds.  With most people utilizing some type of online tool in the US (either through the PC or smartphone) to access information, social care helps to put some of the power back in the people’s hands.

Explore Meetups

Meetup

Many of us are finding that we now have a degree but how do we market ourselves? There are so many resources available but one that is often overlooked is the Meetup Network. A Meetup is exactly what it sounds like. It is a group of individuals that discuss their business problems, career opportunities, and network with like-minded individuals. This is a continual communications process and if none of you have used it, I highly recommend it.

There are hundreds of tech groups residing on the Meetup network with names such as Ethical Computer Hackers of Northern Virginia, The Baltimore Word Press Group, Web Design and Development, and even Drunk Coders (most of the meetings are after-hours at local bars:-). Whatever your hobbies, skill set, or major is, there are probably many groups in your city that fit your interest. So, if you enjoy networking, meeting new people, and discussing topics relevant to your career field, check out the groups on the Meetup Web site in your area.

I am curious to find out if anyone in the group has ever attended one and if so what are your thoughts?

How To Get Digital Certificates

Depending on the type of business you have, or may potentially support, you may want to set up a secure connection with your clients.  To do this, you must get  a digital secure certificate from one of many certification authorities (CAs).  The CAs verify the person or the company requesting the certificate are real by checking with a registration authority (RA).  RAs double-check your information and give the certification authorities the “thumbs up” if they recommend the certificate.

The common certificate authorities are:

  •  www.verisign.com
  •  www.thawte.com
  •  www.geotrust.com
  •  www.instantssl.com
  •  www.entrust.com

Unfortunately, digital certificates aren’t free.  The level of security you need will determine the price you will have to pay.  No need to go all out, just purchase the one that fits the needs of your web site.  Once you buy a secure certificate, you can send it to your web to install on your site.  As I mentioned earlier, the stronger the encryption, the more the certificate costs.  Here’s a quick description of encryption strength:

  • 40-bit:  supported by most browsers, but easy to break the encryption code
  • 56-bit:  thousands of times stronger than 40-bit and supported by most browsers but still possible to break code
  • 128-bit:  exponentially stronger than 40-bit making it more difficult to break but not supported by all browsers
  • 256-bit:  virtually impossible to break but much more expensive and not supported by all browsers

SSL is built into all major browsers and web servers and is automatically enabled by installing a secure certificate.  So, instead of going all out and getting the most secure encryption, do a little research and purchase one that is most appropriate for your site.  If you process payments, send or receive personal information such as social security number, date of birth, address, etc., it is best to use 128-bit or better.
